Employee Privacy & Monitoring Notice

The JL Dashboard is a business system owned and operated by JL Restaurant Management (“the Company”). It is provided to employees, managers, and authorized contractors for Company business only. Read this notice before signing in. By signing in and using the Dashboard, you acknowledge it.

1. Company system, Company records

The Dashboard, the accounts on it, and all data entered into or generated by it are Company property and Company business records. This includes anything you type, upload, photograph, sign, or submit through it. Nothing on the Dashboard is your personal property, and nothing in it is private to you as against the Company.

2. No expectation of privacy

You should have no expectation of privacy in your use of the Dashboard. The Company may access, review, monitor, copy, retain, and disclose any activity or content on the Dashboard at any time, for any lawful business reason, with or without notice to you, and without your further consent. That includes activity conducted on a personal device you choose to use to reach the Dashboard.

3. What the Dashboard records

In the ordinary course of operating, the Dashboard records:

  • Account and access records — your name, work email or username, role, store assignments, and permissions.
  • Sign-in activity — every successful sign-in, the method used (Google, email and password, store PIN, or technician PIN), and when it happened.
  • Administrative access — when an administrator uses “log in as” to view the Dashboard as your account, who did it, and when it started and ended.
  • Work you record — sales, labor, forecasts, orders, invoices, expenses, checklists, cleaning logs, maintenance, and related operating entries, together with the account that entered them and the time.
  • Employment records — schedules, time punches, hours, pay rates and wage figures, attendance, meal and rest break records and penalty (CAM) forms, write-ups and discipline, performance reviews, certifications, and resignation or termination records.
  • Images, documents, and signatures — receipts, invoices, checkout reports, forms, and photographs you upload; photographs taken to complete a task, including a photograph of the person completing it where a checklist requires one; and typed or drawn signatures you apply to Company documents.
  • Messages — messages you send to Company numbers or chat channels connected to the Dashboard, including the attendance text line and the assistant chat.

The Dashboard does not track your physical location and does not use your device's GPS. Records are associated with the store you are assigned to, not with where you happen to be.

4. Shared store logins

Store computer and iPad logins are shared Company accounts, not personal accounts. Anything done on a shared login is attributable to the store, and to whoever identifies themselves in the entry. Do not use a shared login for anything you intend to be personal, and do not use another person's account or PIN.

5. Sensitive information

Some Company forms handled through the Dashboard collect sensitive personal information, such as bank account details for direct deposit or government identification numbers. The Company collects that information only to administer pay and benefits and to meet its legal obligations, and restricts access to it to those who need it for those purposes.

6. How the Company uses this information

The Company uses information on the Dashboard to run its restaurants and administer employment, including scheduling and labor management, payroll and pay administration, financial and operational reporting, food and vendor cost control, maintenance and construction, training, performance management and discipline, workplace safety and incident handling, protecting Company assets, investigating suspected policy violations or misconduct, and complying with law and responding to legal process, audits, and claims.

The Company does not sell this information and does not share it for cross-context behavioral advertising.

7. Service providers

The Dashboard exchanges data with business systems the Company uses, including point-of-sale, scheduling and timekeeping, accounting, invoicing, messaging, email, and file storage providers. Each receives only what its function requires, and is permitted to use it only to provide services to the Company.

8. Retention

Records are retained for as long as the Company needs them for business, accounting, tax, insurance, audit, and legal purposes, including the period of any actual or reasonably anticipated claim, investigation, audit, or legal hold. Records are retained after employment ends. Deleting an entry in the Dashboard does not necessarily remove it from Company backups or archives.

9. Your responsibilities

  • Use the Dashboard only for Company business and only within the access you have been granted.
  • Keep your password and any PIN confidential. Do not share credentials, and do not sign in as anyone else.
  • Enter information accurately and on time. Dashboard records are used for pay, compliance, and reporting.
  • Do not copy, export, photograph, or send Company data outside the Company except as your job requires and Company policy permits.
  • Report a lost device, a suspected compromised account, or anything that looks wrong to your manager immediately.

10. California residents — notice at collection

For employees, applicants, and contractors who are California residents, this section is the Company's notice at collection under the California Consumer Privacy Act as amended. The categories of personal information the Company collects through the Dashboard are: identifiers (name, work email, username, account identifiers); personal records information (employment records, compensation and wage information, bank account information supplied for direct deposit, government identification numbers supplied on Company forms); characteristics such as date of birth where recorded for Company purposes; professional and employment-related information (role, store, schedule, time and attendance, performance, discipline, certifications); commercial information relating to Company purchases and expenses; audio, electronic, or visual information (photographs, uploaded documents, signatures, and messages); and internet or other electronic network activity relating to your use of the Dashboard. These are collected and used for the employment-related purposes listed in Section 6, and retained as described in Section 8. The Company does not sell or share personal information as those terms are defined by that Act. Questions about your rights under it may be directed to the contact below.

11. Not a contract

This notice describes the Company's practices. It is not an employment contract, does not create any contractual right or obligation, and does not alter the at-will nature of employment where employment is at will. Nothing here limits the Company's rights under its other policies, its employee handbook, or applicable law, and nothing here restricts any right you have under law to discuss wages or working conditions.

12. Changes

The Company may change this notice at any time. The version posted here is the current one, and continued use of the Dashboard after a change means you acknowledge the updated notice.
